Supporting process improvements with a mobile-ready intranet

The problem

Multiple YMCA Associations in the Northern Territory amalgamated in 2016, enabling YMCA NT to deliver services and government-funded programs right across the Territory.

Most of their 440+ staff and volunteers are not desk-based, working out in the community and at facilities to provide recreation, children’s, youth and community services.

This presented the challenge of reaching teams in multiple locations across a vast area – more than 1.4 million square kilometres!

What we delivered

YMCA NT were one of the first to benefit from Sproket, Sope’s Intranet in-a-box product that sits on top of SharePoint to provide a tailored solution for clients.

The YMCA NT intranet was built as a separate site collection within the national intranet, with the additional features that are unique to Sproket.

Key to the success of the project were Sproket’s mobile-ready (responsive) page layouts and intuitive interface, which allowed the team to merge three Territory-based sites into one and create the team and location-based pages needed for launch.

“Most of our staff are casual, they're actually on the ground. We didn't have the ability before, [for them to] access the intranet,” explained Sharon, Systems & Communications Officer at YMCA NT, who worked very closely with the Sope team to drive the project.

“It's streamlined my processes quite a lot!” Sharon said. “Things that I would normally have to manually check, you can put a system in place and get Sproket to monitor it and manage it.”

Standard features such as the App Launcher and online forms and workflow have become invaluable for improving the efficiency of business processes such as hazard and incident reporting and end of day processing.

The benefits extend to staff and volunteers out in the field as well as office-based teams in Darwin, Alice Springs and Katherine.

The Intranet is now a central hub that connects staff to all the essential online forms, policies and procedures they need day to day. They can also share news and find out about events, from Darwin to Alice Springs and all centres in between.

This is just one of the improvements YMCA NT is making to its operational systems and processes so it can continue to do what it does best: deliver accessible programs that help more people get active and involved.

Sproket support framework

Sope provides ongoing support to YMCA NT with a hosting and support agreement that includes Sproket helpdesk. Queries can be logged and tracked online through our Supportal (Sope Support Portal) or raised by email/phone and assessed and assigned for resolution.

This model also places YMCA NT in the priority group for accessing new Sproket features and functionality, which are regularly rolled out by the Melbourne-based team.

YMCA NT is part of the Australia-wide YMCA federation, delivering programs that help people be more active to create ‘Healthier, Happier Communities’.
